Trip Terms & Conditions

Nepal Wilderness Trekking Pvt. Ltd is committed to offering the highest level of service, ensuring our customers have safe and memorable experiences in Nepal. As a government-registered company, our primary goal is to deliver excellent quality to our clients. Please carefully review the following terms and conditions before booking a trip with us.

By booking a trip with Nepal Wilderness Trekking Pvt. Ltd, you agree to the following terms and conditions:

Travel Documents

It is your responsibility to obtain the necessary travel documents, including passport photocopies, visa copies, and passport-size photos before your trip. While we will assist in providing information, we cannot be held liable for any failure to obtain these documents.

Trip Confirmation

To confirm your trip, we require the following:

  • Completed Booking Form: Submit our trip booking form, including the trip’s starting date.
  • Passport Copy: Provide a clear copy of your passport, valid for at least six months from the trip date, along with a passport-size photo.
  • Travel Insurance: Submit a copy of your travel insurance policy covering medical emergencies, evacuation, and trip cancellations.
  • Flight Details: Share your flight itinerary, including arrival and departure dates and flight numbers.
  • Payment: A 25% deposit of the total trip cost is required to confirm your trip. The remaining balance is due 10 days before the trip, or upon your arrival at our office.

Once we receive the necessary documents and deposit, we will send you a confirmation email with trip details.

Liability

While we strive to ensure a safe and comfortable journey, we cannot be held responsible for any injury, loss, or damage to personal property. We reserve the right to cancel a trip if deemed necessary for the safety of our clients.

Booking Conditions

  • The 25% deposit is non-refundable. However, you may use this amount towards another trip within one year from the payment date. The remaining balance will be due upon arrival.
  • Last-minute bookings are accepted, but we recommend booking at least two weeks before departure.

Payment Methods

We accept payments through wire transfers, online payment gateways, and major credit cards. A 4% surcharge applies to credit card transactions, and all transaction fees are the client’s responsibility.

Itinerary Changes

We reserve the right to alter itineraries due to unforeseen circumstances, such as weather, political instability, or transportation issues. In such cases, alternative arrangements of equal or greater value will be provided. If you request changes to the itinerary, you must notify us in writing at least 30 days before departure. We will try our best to accommodate requests but cannot guarantee them.

Risks and Liabilities

Nepal Wilderness Trekking Pvt Ltd adheres to all regulations of the Nepal Tourism Board. In the event of unforeseen circumstances—such as legal changes, natural disasters, or political unrest—resulting in flight cancellations or delays, we are not responsible for any additional expenses incurred by the client. Travel insurance is strongly recommended. If a client violates local laws and is forced to leave Nepal, no refund will be provided.

Cancellation Policy

The 25% deposit is non-refundable. We encourage postponing rather than canceling your trip. The full trip cost is non-refundable if the client cancels mid-trip for personal reasons. If we must cancel a tour due to natural disasters, war, or severe weather, we will offer an alternative tour.

Travel Insurance

We highly recommend purchasing travel insurance before your trip. The policy should cover medical emergencies, evacuation, trip cancellations, and lost luggage. We recommend World Nomads for comprehensive coverage.

Health and Fitness

Participants must be in good health and physical condition. Pre-existing medical conditions should be disclosed prior to booking. We reserve the right to request a doctor’s certificate before departure.

Flight Delays or Cancellations

Regions such as Everest, Annapurna, Dolpo, Simikot, and Jumla are prone to flight delays or cancellations due to bad weather. We advise budgeting extra funds for additional expenses like food and accommodation during such delays. Nepal Wilderness Trekking is not liable for any additional costs arising from flight cancellations.

Governing Law

These terms are governed by the laws of Nepal. Any disputes will be subject to the exclusive jurisdiction of the courts of Nepal.

Third-Party Bookings

These terms and conditions apply only to bookings made directly with us. If booked through international agents or third parties, their terms and conditions will apply.
